Privacy Policy
This policy sets out how information is handled in this service — the app for facilities, and the multilingual guide pages published from it. The operator is referred to below as “we”.
The Japanese version of this policy is authoritative. If this translation and the Japanese version differ, the Japanese version prevails.
1. Our approach
We collect only the minimum information needed to provide the features. We do not collect contact details such as names, email addresses or phone numbers, precise location, or financial information such as payment card numbers in order for you to use this service. This does not apply to contact details you enter yourself in the enquiry form (see “12. Contact” below). We never sell or rent the information we hold.
2. What we collect
2-1. Users of the facility app (facility staff)
- Account identifier
- When you use the app we issue an anonymous identifier that links your device to your data. There is no registration with a name, email address, password or phone number, and this identifier is the only thing we store for this purpose. Purpose: to tell whose facility data is whose
- Facility information
- Facility name, industry, notes about your guides, address (optional), contact method (optional), and the name used in the public page URL. Of these, only the facility name appears on your customers' screen — the address, contact method and notes are not published. Purpose: managing guides and generating the public page
- Guide information
- The guide's title, what to do first, steps, things to note, reasons, what to do if it doesn't work, text to show staff, photos, category, and the translations in each language. Purpose: managing guides and generating the public page
- Purchase and subscription information
- We verify the signed purchase information issued by the app distribution platform (transaction identifier, product identifier, expiry date and so on) on our server and apply it to your plan. Payment details such as credit card numbers never reach us — payment is completed entirely on the platform. Purpose: applying the paid plan
- App attestation
- A per-device attestation that lets our server confirm a request came from the genuine app. It does not identify a person. Purpose: blocking illegitimate requests
- Camera and photo library
- Used only when you take or choose a photo to include in a guide, after your device asks for permission. Only the photos you select are stored on our server; we do not read any other photos. Purpose: adding photos to guides
We do not use behavioural analytics, crash reporting, or push notifications for our own purposes, and the app itself does not collect location. However, the app includes a component from an ad delivery provider, and what that component may collect is described in “4. Advertising” below.
2-2. Readers of the public guide pages (customers)
- No account, login or app installation is needed to read a guide, and we do not collect personal information from readers.
- The pages are read-only. There is no path for a reader to write data.
- The display language is detected automatically from the device or browser settings. A language chosen by hand is stored on the device only until the browser tab is closed. We do not use cookies or advertising identifiers to identify or track readers.
- For the operation of the servers and delivery platform, access logs (IP address, browser information, timestamps and so on) are retained for a period. They are used only for fault response and preventing unauthorised access.
- No AI processing takes place when a page is read — what is shown was generated and checked before publishing.
- No advertising is shown on the public guide pages.
- If we count how often guides are viewed, the figures are totals by language and count only, and contain nothing that identifies an individual.
3. AI translation
- The guide text entered by facility staff is sent to an external AI processing provider (processed on servers in the United States) to generate translations into other languages. What is sent is the text of the guide the facility intends to publish; it does not include personal information such as a customer's name or contact details (see “6. Storage location and cross-border transfer” regarding processing in the United States).
- Only that text is sent. Photos are not sent to the AI.
- Sending happens only when facility staff register or change a guide and run a translation. It does not happen when a customer views a page.
- AI output is published only after facility staff have checked and confirmed it language by language. AI output is never published as-is.
- The AI is made to translate only. It is not allowed to add facts the facility did not write — prices, opening hours, whether something is permitted. Our server discards any output outside the fields we define in advance.
4. Advertising
- Advertising is shown only in the facility app. It is never shown on the public guide pages that customers see.
- The ad delivery provider may collect, for delivery and measurement, the device advertising identifier, approximate location, information about ads and screen interactions, and information about device performance and faults.
- The advertising identifier is used for personalised advertising only where permitted under the device (OS) tracking permission. Where it is declined or unanswered, ads are delivered as non-personalised. You can create and publish guides in full without allowing it.
- You can change your consent for ad-related data at any time from Menu → “About” → “Ad settings” in the app.
5. Third parties and processors
We use external providers for the purposes below, and information is handled by them to the extent necessary. Individual provider names are not written into this policy because they may change; all of them are either our processors or the providers of services we use.
- Cloud platform provider (data storage, server processing, page delivery)
- AI processing provider (translation, section 3 above)
- Ad delivery provider (advertising, section 4 above)
- App distribution and payment platform (app delivery and billing)
- Enquiry form provider (receiving enquiries, section 12 below)
We do not provide personal information to any other third party except as required by law.
6. Storage location and cross-border transfer
- Facility and guide data (including photos) is stored on cloud infrastructure operating in a Japan region.
- For AI translation (section 3 above), guide text is sent to and processed on servers in the United States. Only text is sent; photos are not.
- What is handled on the United States servers is the facility's guide text; it does not include customers' personal information. Processing is limited to providing this service (managing guides and publishing them in multiple languages), and all communication is encrypted (TLS).
- Data is retained until facility staff delete it from the app or until we receive a deletion request. Deleting a guide also deletes the photos attached to it and the contents of its public page.
- If you would like your account and all data deleted, please contact us through the enquiry channel below.
7. A note on who can see published guides
A published guide page can be read by anyone who knows the URL or has the QR code. We set the pages not to appear in search engines, but the URL itself is not a secret. Please do not put personal information, or anything you do not want made public, into guide text or photos. In particular, anyone or anything caught in a photo — people, documents, notices on a wall — is published exactly as it appears.
8. Security
- All communication is encrypted (TLS).
- Access to data is controlled by server-side rules, designed so that one facility cannot read or write another facility's data.
- We block requests that do not come from the genuine app.
- Data published to customers is generated by writing out only the fields defined in advance on the server. Administrative information cannot leak into a public page.
9. Your rights
If you would like data about you (or your facility) disclosed, corrected, deleted, or its use suspended, please contact us through the enquiry channel. We will verify your identity and respond in accordance with the law.
10. Use by minors
This service is intended for use by businesses (facilities). If a minor uses it, please do so with the consent of a parent or guardian.
11. Changes to this policy
If what we collect or the purposes of use change, we will update this page to make it known. Where a change is significant, we will also announce it in the app.
12. Contact
For enquiries about this policy or the handling of personal information, please use the enquiry form.
The form asks for your name, email address and the content of your enquiry so that we can reply. What you enter is stored on the form provider's service and is used only to reply to your enquiry and to keep a record of it. It is not linked to data inside the app.
